REFERENCE DATA
All reference data used in Arclink is maintained through the Maintenance menu options. Access to the reference data maintenance options is controlled using User Groups. This is covered in more detail in the Security topic. All maintenance options, bar for Levels, consist of a data grid to sort and filter the existing data along with an add/edit function. All reference data can be exported to excel or printed from options on the main grid form. All records have an active flag and each record can be deleted from the main grid form once it is not referenced elsewhere, The Level maintenance interface differs in that the grid is replaced with a tree view to display all levels, or the levels belonging to the selected section if this function is accessed through the Sections grid.

The first maintenance function presented to the user is for maintaining Sections. The levels belonging each Section can also be accessed from the main Section grid. This is demonstrated in the screenshots below along with some of the common functions associated with a maintenance grid.

Levels
Each level record can be associated with a default lifecycle template that is used to create a file's lifecycle once the file is added to that level.

The level's lifecycle is edited using a very user-friendly data entry grid as shown in the screen shot. This allows for records to be added, inserted or deleted from the level's lifecyle template.

Each record (stage) in the lifecycle can have a status, an retention and disposal instruction and a duration. A stage can be set so that it is not permitted to have a a zero duration. In the displayed level lifecyle the non-current stage must have a non-zero duration while the Current and Disposed stage can have a zero duration which allows these stages to be actioned immediately .
